Tenancy Applications/References

Applications for all of our properties are conditional upon satisfactory references and your ability to pay the deposit and initial rent. Upon taking one of our properties we will issue you with a full application pack which will need to be completed for all tenants over the age of 18. In addition, we will need to see an original current utility bill and to see your passport which we will certify. If you do not have a valid passport you will need to provide a copy of your birth certiļ¬cate and driving licence.

If you are currently not in employment or in receipt of a monthly pension, providing you meet our affordability calculator we will require confirmation of available funds or details regarding your pension income which will enable us to process the application as quickly as possible. If you are moving to this country from abroad we may require further proof of identification such as a work permit or visa. In addition to our standard referencing we are also able to offer a fast track service for a minimal additional fee.

Before we can begin the process of referencing and tenancy preparation, a reservation payment will be required and can be made by direct bank transfer, cash, or by cheque (made payable to Robin King Estate Agents). The tenancy application fee covers referencing (identity, immigration and visa confirmation, financial credit checks, obtaining references from current or previous employers/landlords and any other relevant information to assess affordability) as well as contract negotiation (amending and agreeing terms), arranging the tenancy and agreement and schedule of condition/inventory if compiled. Please note that the reservation fee is non-refundable, even if the tenancy is refused on the grounds of unsatisfactory references or if the tenant withdraws from taking the property.

Occasionally, a guarantor will be required if, for example the tenant has been working abroad in the previous 6 months or if the tenants’ income falls short of our criteria or the tenants’ employment is considered as changeable.
Please note that the same criteria apply to the guarantor and, furthermore, the guarantor must earn the equivalent of 3 times the yearly sum of the rent, be in full time employment or be able to prove by bank statements that they have “independent means”.

The guarantor must be aware that they will stand as guarantor for you, (and your partner if you are moving in to the property with someone else), for the entire occupancy of the property, not just for the period of the initial tenancy term.

How Much Do I Need to Earn to be Considered For The Property?

To be considered for the property and, subject to the Landlord’s decision, you must earn at least 1.5 times the yearly rent (however, you will require a guarantor) or at least 2.5 times the yearly rent (you will qualify on the income part of the referencing without a guarantor). Your guarantor must earn at least 3 times the yearly rent in order to qualify.

Details of income multiples will be provided within our application pack, please ensure that collectively or individually, your income meets the minimum expected level prior to application.

A specimen tenancy agreement & terms of business will be provided to you prior to referencing, please ensure that you have read these important legal documents and that you are aware of the terms and conditions that relate to the property that you are applying for. Please note that all of our properties are let on the basis of absolutely no smoking within the property & no pets of any description unless by prior arrangement and with the express permission of the landlord.


Tenancy Agreement / Letting

Once we receive confirmation that the references are satisfactory we will then, following liaison with the landlord confirm the proposed tenancy start date. We will also provide you with further details in respect of payment relating to the first month’s rent and deposit. On the day of move in, you will be required to attend our Congresbury office in order to sign the Tenancy agreement and receive additional paperwork including safety certificates etc in relation to the property that you are taking. Please note if a guarantor has been necessary, they will also need to attend the appointment, unless alternative methods have been organised, which will need to be by prior arrangement.

Rental Payments

The first months' rent along with the deposit are due in cleared funds on or prior to the tenancy start date payable either by direct bank transfer, cash, debit card or bankers draft. The following rental payments are payable in advance by standing order either into our Robin King Client Account in the case of Managed properties or directly to the landlord in the introductory only properties. A standing order form will be provided to you during your tenancy sign-up, we ask that you make arrangements with your bank as soon as possible to avoid late payments etc.


This is protected by The Tenancy Deposit Scheme in their custodial scheme. As the deposit is passed over directly no interest is payable to either tenant or Robin King. The deposit is held against any damages or expenses arising during your tenancy and will not be released until you have vacated the property, all rent has been paid up to date and an end of tenancy inspection completed and is satisfactory.

Inventory and schedule of condition

In our managed properties Robin King will prepare and provide you with a schedule of condition and inventory, this will be provided to you during your tenancy sign up. Please would you ensure that you fully check, sign at the end and initial each page of this document and return it to the Congresbury office within 7 days. It is very important that you take care in checking this document, as it will form the basis of any claim for damages by your Landlord at the end of the tenancy.


Further details of Tenants contents cover will be provided to you when you apply for one of our properties. A reduced deposit is available to those tenants that are able to provide proof in the form of a policy document that a valid Tenants contents insurance policy is in place. The Tenant is responsible for insuring their own personal effects and furnishings. It is important that as a tenant you are adequately protected and covered for any damage you may cause to landlord’s buildings or contents. Insurance can help you to protect your deposit at the end of the tenancy.

Tenants Obligations

During your tenancy you have a duty of responsibility for the property. It is therefore particularly important that any gas or electrical problems are reported immediately and the property is fully secured when you leave it unattended at any time. During the winter months, necessary steps must be taken to prevent the freezing of water and heating systems. In addition, you will be liable to maintain the interior décor of the property to include carpets, and any fixtures and fittings that are included plus gardens and outside areas.

Property Visits

All of our managed properties will be subject to regular approximately 12 weekly inspections. The purpose of these is to check the condition of the property and that you are conducting your tenancy in accordance with the Tenancy Agreement. The visit also provides you with an opportunity to notify of any issues or problems you are experiencing with the property.

Television/Telephone & Broadband Connections

Please note that if you intend to use a television at the property you are responsible for the provision of a television licence, at your own cost.
